Artificial intelligence in school marketing

Artificial Intelligence has been making headlines across the UK education sector for a while now, and not just in the classroom. At Cleverbox we work closely with schools all over the country, and we’re seeing school leaders and Marketing Managers turn to Artificial Intelligence to help them tell their stories, reach new families, and connect with their communities.

From bustling primary schools in Manchester, multi-academy trusts in London and Independent schools in rural Scotland, marketing teams all over the UK are discovering that Artificial Intelligence can transform how they reach prospective families, but as budgets tighten, parental expectations shift, and technology becomes a standard part of learning, some big questions are emerging:

  • How can we actually use Artificial Intelligence in our school marketing?
  • What are the potential downsides?
  • Where does that essential human touch still fit in?

Schools are under pressure, but open to innovation

We know schools in the UK are under pressure. State schools face reduced per-pupil funding, forcing leaders to do more with less. Multi-academy trusts are seeking ways to stretch central budgets while delivering consistent messaging across dozens of schools. Even independent schools, long considered financially resilient are now dealing with a potential closures and drops in admissions.

Against this backdrop, Artificial Intelligence-powered tools promise efficiency and reach. Social media posts can be drafted in seconds. Prospectus and website copy can be tailored to specific audiences and having an automated system instantly reply to parent enquiries saves valuable admin time. It’s all about doing more with less, without sacrificing quality.

From Classrooms to Campaigns

Despite how it may feel sometimes, Artificial Intelligence didn’t arrive overnight. Its journey into the education sector, especially for marketing, mirrors its classroom adoption.

  • In the early 2010’s, schools began experimenting with data analytics to understand enrolment patterns, predict performance and personalise learning pathways.
  • By 2020, the pandemic accelerated digital communications in schools, pushing many marketing teams to adopt automation for newsletters, parental communication and delivery of lessons.
  • The 2022 release of generative AI tools like ChatGPT made it possible for any staff member to create professional classroom content in seconds. The use of this tool began to become commonplace in schools, both for staff, and increasingly so for students.
  • By 2024, government reports revealed that nearly half of UK teachers had used AI in some capacity in their classrooms, while students, especially in secondary schools, were using it as part of everyday learning.
  • Today, in 2025, both the Department for Education and many education technology providers have been openly encouraging AI’s role in planning, feedback, and administration.

Now, these same tools are making their way into the school’s marketing and admissions offices!

Is it too good to be true?

There’s no doubt that Artificial Intelligence can be a game-changer for busy marketing teams. It can help you create content faster, run more targeted campaigns, and instantly use data to improve your strategy. But let’s be real, it’s not all smooth sailing.

Parents are rightly concerned about privacy, especially if their personal data is being fed into algorithms and some worry that Artificial Intelligence-generated content might feel cold or impersonal, eroding the trust that comes from real stories and personal interaction.

Reputation is another concern. An Artificial Intelligence-drafted prospectus that contains factual errors or uses an overly generic tone can quickly undermine a school’s brand identity. And with search engine behaviour changing, parents increasingly getting “direct”. Artificial Intelligence-generated answers to queries about schools, rather than be directed to their website runs the risk of misinformation spreading. Parents are now asking AI assistants direct questions like “What’s the best primary school near me?” If your school’s website content isn’t optimised for these new “answer engines,” you could be missing out.

The most successful schools we’re working with aren’t replacing their marketing teams with Artificial Intelligence! Far from it… Instead, they’re using it as a tool to supercharge their creativity.

Finding the Balance: School Marketers + Artificial Intelligence

Think of Artificial Intelligence as a personal assistant. It can handle the first draft of an email, summarise a long report, or even generate ideas for a social media post. Then, you step in to add the warmth, the accuracy, and the unique tone of voice of your school. One way to stay on top of how Artificial Intelligence is being used in your marketing is to draft some sort of Artificial Intelligence ‘playbook’ or policy. These simple guides set clear rules for all staff:

  • All Artificial Intelligence-generated content gets a human review before it goes live.
  • No sensitive or personal data of parents or students is ever put into public Artificial Intelligence tools.
  • Every piece of content must reflect the school’s core values.

Changing the way parents use search tools

Perhaps the most subtle but significant shift in recent years is how parents now search for school information. Instead of taking the time to research and view dozens of websites in the build-up to open events, many simply ask Artificial Intelligence-powered assistants questions like “What’s the best secondary school near me?” or “Which schools have the highest A Level results in Bristol?”

I swear as recently as yesterday I heard someone use the phrase ‘Just chat GPT it” rather than “Google it”. We are indeed living in different times!

The problem with these new Q&A models is if the Artificial Intelligence pulls from outdated or incomplete sources, schools can miss opportunities to appear in these answers. This is pushing marketing teams to optimise not just for Google search rankings, with traditional SEO but for Artificial Intelligence-powered ‘answer engines’ too, known as GEO (Generative Engine Optimisation).

What’s next: Is Artificial Intelligence the new normal?

In the next few years, Artificial Intelligence is likely to become a standard part of UK school marketing and will soon be as common as email or social media. The real winners will be the schools that master the art of blending AI tools with a genuine human voice. At Cleverbox, we’re dedicated to helping schools use these new tools to their full advantage. We’ll show you how it can be used to create engaging marketing campaigns, draft website and prospectus content, or even edit photography in order to tell your unique story and capture your audience’s attention.

While Artificial Intelligence can certainly save you valuable time on time consuming administrative tasks, it’s crucial not to lose the personal connection you have with your community. We believe in using Artificial Intelligence to enhance your message, not replace your voice, so that every interaction with parents, students, and staff still feels genuine and authentic. This way, marketing stays under your control and never deviates away from your core messages.
